The Gas Hub is a records, certificates and invoicing app for gas engineers. This page says what we store, why, and what your rights are — in plain English.

What we store

Your account: your email address and sign-in details, handled by our database provider (Supabase).

Your work: the records you create — tightness tests, gas safety records, service records, warning notices, invoices and quotes — including addresses, appliance details, test readings, and your signature where you add one. That's the whole point of the app: keeping your records safe and retrievable.

Your customers' details: names, addresses and contact details you enter about your customers and landlords. You control that data; we store it for you and use it for nothing else. Under UK GDPR you are the data controller for your customers' information and we are your processor.

Your business bits: your logo, invoice details and payment link, stored on your device; team membership and paid seats if your firm uses a company account.

Payments: handled entirely by Stripe. We never see or store card numbers — we only store whether a subscription is active.

The AI assistant (Ask the Hub)

If you use Ask the Hub, your question and the answer you get back are sent to Anthropic, who run the AI model that produces the answer. Anthropic process it to generate the reply; they do not use it to train their models.

We keep a copy of the questions and answers. Two reasons, both in your interest: so you can look back at what you were told, and so there is a record if the advice you were given is ever questioned. Only you can read your own AI history — nobody else, including other engineers in your firm.

The assistant may search the web to answer a question about a current standard or a fault code. Don't type customer names, addresses or anything personal into it — it doesn't need them, and there's no reason for that information to leave your phone.

Ask the Hub is an assistant, not the authority. It doesn't sign anything off, and the engineer on site remains responsible for the work.

Your AI history is deleted along with everything else if you delete your account.

What we don't do

We don't sell your data. We don't share it with advertisers. We don't read your records except to fix a fault you've reported. We don't track you around the internet.

Photos and location

Test evidence photos stay on your phone — the app stores a count, not the pictures. If you let the app capture GPS on a test, the coordinates go on that record so the cert can prove where it was done.

How long we keep it

As long as you have an account. Gas safety records are legal documents — engineers are expected to keep them for at least 2 years — so nothing is auto-deleted while your account is open.

Deleting your data

Help → Delete my account removes your account and everything in it, permanently. Download anything you're legally required to keep first. Or email us and we'll do it by hand within 30 days.

Your rights

Under UK GDPR you can ask for a copy of your data, ask us to correct it, or ask us to delete it. Email support@thegas-hub.co.uk and a real person will sort it. If you're not happy with how we handle it, you can complain to the ICO (ico.org.uk).

If you use this app for your firm (our processor commitments)

Where you store your customers' details in the app, you are the data controller and we are your processor under UK GDPR. These commitments meet what Article 28 requires, and they form part of our contract with you.

We will: process personal data only on your instructions (using the app is your instruction); keep everyone with access bound by confidentiality; keep the data secure — encrypted in transit and at rest, with access rules that stop one account reading another's, and nightly backups; not add a new sub-processor without telling you first and giving you the chance to object; help you answer your customers' requests for access, correction or deletion; help you with security, breach reporting and impact assessments; tell you without undue delay if there is ever a personal data breach, so you can meet your own duty to report within 72 hours; delete or return your data when you leave, at your choice; and submit to audits, giving you what you need to show we are both meeting Article 28.

The companies we use to run the service (our sub-processors): Supabase (database and file storage), Vercel (hosting), Stripe (payments — we never see card numbers), and Anthropic (the AI model behind Ask the Hub). Where data goes outside the UK it is covered by adequacy or by the International Data Transfer Agreement.

If we change who we use, we will tell you. If you object and we cannot sort it out, you can cancel and we will refund the time you have not used.
